Summary of Position:

The Coordinator, Creative Services is a detail-oriented, tactful communicator who facilitates workflows and processes from project start to end. Reporting to the SVP, Creative and Account Director, the Coordinator will provide both administrative and project management to the team. 


The successful candidate enjoys collaborating across teams and working in a Creative environment in the Entertainment industry and is eager to learn more about broadcast media and the creation, branding, marketing, and promotion of original hit-series content and theatrical released motion pictures. 



Essential Duties and Responsibilities:


  • Scope of Work (SOW) create with legal and follow thru with internal/agency to get signed and delivered (CS agencies) 
  • Processing signatures from SVP as needed



  • Process invoices working with account coordinator


Resource Management and Communication:

  • Ensuring creative direction fully communicated with internal creative team filling any holes if needed
  • Connecting with departments relevant creative status/needs/updates/documents – keeping all on track 
  • Lock emails with agency & internal teams informing of locked work
  • Timeline coordination with internal creative staff escalating delays or conflicts
  • Job assignments 
  • Create jobs for CS internal needs
  • Comb through all open jobs on a daily basis to ensure we are on track, aware of upcoming deadlines, checking with staff on status and flagging any concerns with meeting deadlines or understanding direction
  • Create and maintain polished, schedules of creative roll-out including revision rounds. Experience with gantt charts a plus
  • Create and maintain digestible, high-level tracking docs housing 360 hub of each campaign’s deliverables and status



  • Maintain department email distribution lists
  • Maintain department contact lists
  • Distribute department information as directed/needed
  • Maintain department vacation list 
  • Status of active and upcoming work from all areas of department (reports/etc)



  • Set up meetings
  • Take minutes/notes



  • Navigate systems to locate/surface/older materials  
  • Link requests of completed spots



  • Answer SVP phone managing messages



  • Organize travel arrangements
  • Expense reports – SVP
Experience & Skills:
  • 1-2 years of administrative or project management experience
  • Basic understanding of a/v, print and digital creative and the creative production process (combination of the above acceptable)
  • Tactful communicator with all levels of an organization
  • Adept learner with on-boarding various technical systems that house creative assets
  • Proficient in Microsoft Office Suite, GoogleDocs
  • Ability to quickly organize and analyze data via excel docs
  • Enjoy a fast-paced position that requires wearing multiple hats
  • Broadcast knowledge a plus
  • International knowledge in broadcasting/marketing/localizing a plus
