Summary of Position

The Administrative Assistant will handle the day-to-day administrative duties for two executives, the Senior Vice President, Publicity, Events, and Awards and EVP, Insights & Analytics in STARZ’s New York office. The ideal candidate is a planner, detailed orientated with excellent verbal and written communications skills and can respond effectively and efficiently. This individual will demonstrate the ability to proactively anticipate needs and have a high level of professionalism. Complex calendar management and scheduling will require attention to detail as well as superb time management and organizational skills. 

Responsibilities

  • Manage complex calendars and scheduling to support two executives. Extensive meeting scheduling coordination between internal and external stakeholders across NY, LA and the UK. 
  • Comfortable communicating with assistants of high level executives, showrunners, talent representatives, etc. with a professional demeanor. 
  • General assistant duties including, scheduling conference calls/zooms, meetings, compiling documents, creating and distributing agendas, creating travel itineraries, ordering office supplies, managing office newspaper/magazine deliveries, etc.
  • Arrange travel for the two executives (both domestic and international), including but not limited to booking airfare, hotel and cars; as well as for talent as needed in support of the publicity department. 
  • Prepare expense reports, scan receipts, code and submit any other relevant documentation for corporate submission.
  • Provide departmental administrative support and other projects as assigned, including staffing red carpet premiere events, screenings, panels, NY Comic Con, Tribeca Film Festival, PaleyFest, etc. 
  • Submit and process invoices, mange departmental accruals
  • Partner and work very closely with C-Suite executive assistants, assistants across the company and assistants for talent and executive producers in both Santa Monica, NYC and internationally. 
  • Be a trusted partner to the executives they support with the ability to exercise good judgement 
  • Must be proficient in Outlook and comfortable navigating various software applications
  • Organize meetings including booking conference room space, ordering catering and creating itineraries. 
  • Receive and process departmental invoices and work with accounting and finance to ensure expenses flow through into department budgets

Qualifications and Skills

  • Bachelor’s degree or equivalent experience
  • 2+ years of administrative experience
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Google G Suite tools (Docs, Sheets, Slides, etc)
  • Must be highly competent with a range of modern communication tools such as Zoom, Teams, Slack, etc.
  • Exceptional communication, time management, and organizational skills
  • Detail-oriented and able to meet deadlines
  • Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
  • Comfortable juggling multiple projects and managing last minute pivots and timely requests with a calm, professional demeanor
  • Thrives in a fast-paced environment and has excellent problem-solving skills
  • Resourceful and eager to implement new organizational processes for the team 
  • Requires discretion in handling confidential information
  • Forward-thinker and a creative problem solver
  • Effectively partner with other assistants throughout the organization to get things done

Nice to Haves

  • Having an interest and is passionate about entertainment, television, media and pop culture is a plus! 
  • Knowledge of SAP/Concur and AirTable

$52,000 - $56,000
