Summary of Position

The Executive Assistant works closely across all Global Marketing Creative, Digital & Strategy teams by providing administrative assistance to the EVP, Global Marketing and both logistical and project support to the broader Global Marketing team as needed. The Executive Assistant is responsible for a wide variety of office duties while representing the Marketing team internally and externally with the highest level of professionalism. Entrusted to handle highly-confidential materials, the Executive Assistant operates with discretion while fostering positive relationships with coworkers, filmmakers, and partners. As an integral part of the greater Lionsgate Motion Picture Group Marketing department, the Executive Assistant serves as a key member of the Creative, Digital and Strategy teams, providing support, insight, opinion, and feedback as appropriate. 

Responsibilities

  • Provide administrative support to EVP, Global Marketing
  • Manage scheduling and calendars for team meetings & events
  • Collect and distribute meeting agendas, meeting minutes/notes & timely memos
  • Support junior members of the team with creative collaboration
  • Sort and prioritize EVP’s e-mail & timely correspondence
  • Manage all team mail, physical shipments & team logistics
  • Assist in managing budgets and billing for the Global Marketing Creative, Digital & Strategy teams
  • Traffic all vendor invoices and review for continuity
  • Manage all travel logistics for EVP, Global Marketing
  • Answer office phone, record messages, manage virtual meetings & work calls

Qualifications and Skills

  • Strong professional and interpersonal communication skills & decorum
  • Proficiency with Office 365 suite (Outlook, Word, Excel, Teams)
  • Experience with project management platforms (Monday.com, Asana, AirTable, etc.)
  • Some design experience & knowledge of software, i.e. Adobe Creative Cloud, Canva, ProCreate, etc.
  • Genuine interest in the film industry, motion picture advertising, and Lionsgate

Nice to Haves

  • Video editing proficiency (Premiere Pro, Avid, Final Cut Pro)
  • Experience working in entertainment marketing or production
  • Script reading & coverage experience
