Summary of Position

The Coordinator, Finance position requires a highly motivated and proactive individual to support the Company’s Chief Financial Officer and the Head of Investor Relations. The role requires an ability to interact with staff at all levels and high profile contacts in a fast-paced environment, sometimes under pressure, all while remaining flexible, proactive, resourceful and efficient with a high-level of professionalism, common sense and confidentiality. Candidates must understand the importance of discretion and utmost confidentiality.

Responsibilities

  • Handle daily administrative duties for Executives including: answering phones and rolling calls
  • Manage Executives’ daily schedule including: coordinate agendas and all arrangements for meetings across all finance divisions
  • Manage the Executives’ business travel arrangements (both domestic & international) including: flights, hotels, vehicles, business meetings, etc. 
  • Organize documents related to quarterly board meetings, SEC filings, and earnings reporting
  • Support the timely tracking of payment deadlines, vendor invoices, and release schedules tied to production and distribution
  • Complete and submit expense reports 
  • Contribute to team effort by accomplishing related results as needed (i.e. coordinating timely meetings/calls on specific projects to meet deadlines, etc.)
  • Maintain comprehensive knowledge of day-to-day operations for a high level executive's office
  • Serve as a secondary administrative resource to the Executive Finance team

Qualifications and Skills

  • 1+ years of work-related experience supporting high level Executives
  • Bachelor's Degree required
  • High attention to detail with excellent organizational abilities
  • Strong work ethic with the ability to prioritize workload and meet deadlines with a high sense of urgency, as necessary
  • Must possess exceptional verbal and written communication skills, marked by a high level of professionalism, diplomacy and discretion
  • Ability to maintain confidentiality and exercise substantial discretion and judgment
  • Ability to work independently with a problem-solving mindset
  • Ability to effectively work with high level executives as well as all levels of management and staff
  • Possess advanced proficiency in the use of Microsoft Word, Excel, PowerPoint, Outlook

Nice to Haves

  • Prior entertainment/media industry experience is a plus
  • Familarity with administrative and financial systems such as Concur and SAP
