Summary of Position:

The Executive Assistant will provide administrative support to the Chief Technology Officer.


Essential Duties and Responsibilities:

  • Manage and maintain executive calendar, assist in meeting preparation, and schedule/coordinate meetings, conferences, teleconferences
  • Arrange domestic and international travel and prepare expense reports, including coding, scanning, and reconciling; experience with Concur or other expense system preferred
  • Coordinate weekly reports with Division Heads
  • Manage and track department budgets and coordinate on invoices and payments
  • Various research tasks as assigned 
  • Cross-functional partnerships with other EA’s and teams to assist with on-site and company-wide events
  • Support team activities, group logistics and staff morale 
Experience & Skills:
  • Minimum of 5 years as an Executive or Administrative Assistant
  • Bachelor’s degree required  
  • Strong computer skills including: Internet, Outlook, Microsoft Office (Word, Excel, PowerPoint) required
  • Strong research ability and experience
  • Excellent organization, time, and project management skills
  • Exceptional written, verbal, and interpersonal communication skills with the capacity to communicate via text/messenger with a fast response time
  • Aptitude in basic math (budget, expense reporting, etc.)
  • Self-starter with the ability to multi-task, prioritize, and work proactively in a fast paced, high volume, creative and deadline oriented environment with the 
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround
  • Experience working with high-level executive and maintaining the utmost of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company
