Job Title: Assistant, Worldwide Publicity, Events & Special Projects

Summary of Position
The Assistant will support all aspects of the team, while also taking lead on several of the job functions. They will focus on both the regional publicity & special events, as well as corporate & production gifting.
Responsibilities
- Support and assist all aspects from VP including schedule and the team.
- Maintain both internal and agency facing weekly calendar & meeting agendas.
- Book travel and submit VP’s expenses as needed.
- Submit and track all regional publicity and special event invoices in SAP.
- Update vendors on payment timeline.
- Onboard new vendors.
- Submit credit card authorizations to finance as needed.
- Manage corporate and production gifting in conjunction with team lead.
- Support team on managing publicity and promotional activities for all activated markets; managing 22 field agency offices spanning 50 US markets and Canada.
- Assist in the creation of all promo items for all campaigns including ideation, creation and legal approvals.
- Assist with all junket logistics including hotel logistics, transportation needs, screening needs, food requests, menus, etc…
- Create, manage, update, and oversee all team and department documents including but not limited to:
- Key Dates
- Field templates per film
- Screening documents
- Review documents
- Assist with creating various creative materials on occasion [premiere tickets, badges, e-vites, campaign reports]
- Assist with screening, junket, event, and campaign recaps to be sent internally and to filmmakers.
- Staff screenings, junket, premieres, film festivals etc. as needed.
Qualifications and Skills
- Must be proficient in Adobe Photoshop, Illustrator, InDesign
- Previously publicity job or internships required
- Extremely Organized
- Ability to juggle multiple projects and work well under short deadlines
- Good with budgeting
